Collect Rotation Evaluations in PG

Different programs use Elentra differently to complete rotation evaluations. A high-level overview of the different approaches is outlined below.


Please remember that a pre-requisite to all of these options is having a standard rotation evaluation form built for a program.


Automatically Distribution Rotation Evaluations through the Rotation Scheduler


Using this option, a PA enables the option to automate rotation evaluations on a rotation itself in the Clinical Experience module. The result is that Elentra will automatically send a rotation evaluation to learners who are scheduled into the rotations with this option enabled.


This option reduces the administrative work of maintaining multiple distributions, copying them annually, etc.


Send Out Rotation Evaluations to Residents via Distributions


One option to facilitate rotation evaluations is to have distributions set up to send tasks to residents. Typically it is up to a PA to build and monitor the distributions.


The most common type of distribution for this is a rotation-based distribution that sends tasks to anyone scheduled into a rotation and targets the rotation itself.


Periodically a program that has longitudinal clinical experiences might use a date-based distribution to collect evaluation data on longitudinal clinics are specific points in the year (e.g., December and June).


Have Residents Initiate Rotation Evaluations


Programs can optionally have residents initiation rotation evaluations on demand. The process is very similar to initiating an assessment. This approach allows residents to complete evaluations when they are motivated to, but may result in fewer overall evaluations completed.
