Using the In-Room Computer, Microphone and Speakers
Press any button on the keyboard to activate the computer and monitor. It can take up to 30 seconds for the system to wake up.
To start a Teams call, use the mouse to select the Teams icon from the bottom of the screen.
The in-room computer is defaulted to use netid [email protected]. You can invite this room to an existing Teams meeting as desired. Reminder: Any chats from meetings including the room netid will be accessible to others using the room netid.
To start a Zoom call, use the mouse to select the Zoom icon from the bottom of the screen.
The in-room computer is defaulted to use netid [email protected].
Click Join/Join A Meeting and enter the meeting id.
Provide a meeting id to join a previously scheduled meeting.
While using the in-room computer, if you need to adjust the volume from the speakers, you can use the buttons on the right-hand side of the monitor.
Connecting Your Laptop to the AV System
Connect your laptop using one of the options below and the monitor will turn on automatically. The required cables are stored in the centre of the table.
You may be prompted to allow your laptop to connect to external accessories. Approve the request.
You may have to wait up to 30 seconds after connecting your laptop for the monitor to turn on.
Ensure your laptop is set to use the appropriate webcam, microphone and speaker.
Web Camera = Logi Rally Cam
Microphone = Echo Cancelling Speakerphone (BiAMP Parle)
Speaker = Echo Cancelling Speakerphone (BiAMP Parle)
To adjust these connections from Teams, click the arrows beside Camera or Mic to open the settings options.
To adjust these connections from Zoom, click the arrow beside Video or Audio to open the settings options.
When using your laptop to run a meeting, adjust the volume as you normally would on your laptop.
Trouble Shooting
Display goes off/appears blank
Move mouse or strike a key on the keyboard. You may have to wait up to 30 seconds for image to reappear.
Camera will not turn on
Make sure other applications that might be using the camera are closed (e.g., Teams, Zoom, Camtasia, etc.)
Audio issues, for example:
Volume will not adjust when using laptop controls
Speakers seem to turn off
Participants on call say they can’t hear people in the room
Select the appropriate speaker and mic (Echo Cancelling Speakerphone) for your entire computer (not just within Teams or Zoom).
On Windows: Right click on the volume icon in the taskbar and select the proper speakers.
On MacOS: Click on the volume icon on the menu bar and select the proper speakers. Volume control could also be in the control center of the menu bar.
The AV system is controlled through the Extron unit located on the front table.
Devices Connected
This displays which device is connected to the Extron UCS-303. Each light corresponds to an input. (see below for input list)
Manual Switch
These switches allow you to change the input the AV system is using.
*When a device goes to sleep, the “Devices Connected” light will be off until the device is awake again.
Input Connections List
INPUT 1 = HDMI
INPUT 2 = In-Room Computer
INPUT 3 = USB-C
How the System Operates:
The TV will automatically turn on when a device is connected to the system or the in-room computer is woken up (by pressing any key on the keyboard). This can take up to 30 seconds (typically 10 seconds).
The system should automatically switch to recognize the connected device.
If no device is connected to the system, or if a device enters standby mode (sleep), the system will automatically turn off the TV after 65 seconds.
