PAs/CCs - Initiating an Assessment Task for a User to Complete

Modified on Thu, Jan 30 at 12:56 PM

If you are a program administrator or curriculum coordinator, there might be times that you need to send an assessment task to a user for completion.

Note: A prerequisite for using this option is that the form you wish to send is permissioned to the course/program.

  1. Navigate to Admin > Assessment & Evaluation.
  2. Click on Trigger Bulk Assessments.
  3. Adjust the program as needed.
  4. Use the Browse Assessors button to search for and select a target. In the example below, a faculty member is added as the assessor.
  5. Use the Browse Learners button to add the targets noting that you can add multiple targets for one assessor.
    1. You must search for the target within a specific curriculum period. Usually you will select the current curriculum period.
  6. Optionally adjust the start and end dates for the period of evaluation noting that they can be unique per evaluation.
  7. Use the green Add Assessor button to optionally add additional targets and evaluators as needed. Note that only one form can be selected at a time so only add multiple targets if they are all being assessed with the same form.
  8. Optionally make the assessment mandatory by checking the relevant box. If an assessment is mandatory, the assessor can not delete it from their Assessment & Evaluation task list.
  9. Optionally require feedback for the assessment by checking the relevant box. If you require feedback, an item will be added to the assessment asking the assessor if they met with the target to review the task. A request for confirmation will also be sent to the target.
    1. If this form is also delivered via distribution, it is recommended you match the feedback requirement on the individual task to the distribution setting (i.e., if the distribution requires feedback, do the same on individual tasks you send).
  10. Optionally check the Prompted Response Notifications box. This will allow you to indicate whether any prompted responses selected on the task should send a notification to the Program Coordinator, Program Director, or a Custom Reviewer. This will override the prompted response reviewer set at the form level (if applicable).

  11. Click Get Tools.
  12. Search for the appropriate tool and once located, click Send Assessment.
    1. Tip: If you don't see a form that you're expecting to see, check the form setup and ensure that it is permissioned to the course/program.
  13. Optionally enter an assessment cue to alert the assessor to why they are receiving the task. Click Send Assessment.

  14. You will receive a green success message and can optionally send another task or navigate to another page.
