Building Recurring Events for PG AHD, Journal Club, etc.

Many PG PAs tell us that their AHD and Journal Club presenters and topics change so frequently they can't reliably upload a CSV of all events for the year. One option that some programs seem to like is to build placeholder events for the entire year, and then edit the event titles and associated faculty as the year unfolds. Follow these steps to do so:


Pre-requisite

You must be logged into Elentra as a PA or CC to complete this.


  1. Go to Admin > Manage Events.
  2. Click "Add New Events" from the right hand side.
  3. Complete the required information noting the following:
    1. The event type will be relevant later when creating event evaluations, so pick accurately!
    2. The default event length is 60 min. Adjust as needed.
    3. Title: Use a generic title like AHD or Journal Club. This title will get applied to all recurring events created.
    4. Set the date and start time of the first event.
    5. If the location is consistent for all or a majority of the events, scroll down to location. Enter the location information.
    6. Scroll back up to Event Series.
    7. Under Event Series, select Recurring Weekly.
    8. Select the day of the week and enter an end date (e.g., sometime in late June).
    9. Click Set Frequency.
    10. Elentra will return you to the event page where it should now show you all the newly created recurring events. You can begin to adjust the titles and teachers or simply save as is and return to edit individual events later.
    11. Scroll down to the bottom of the page and click Save.


Reminders:

  • Once events are created this way, they are immediately visible to learners and any associated faculty.
  • You can delete individual events if there are weeks that an event is cancelled.

  • Once you've created your events, you may want to review how events or teachers are being evaluated (if applicable). This could be with an event-based distribution (targeting the event or the teacher) or with an event feedback form.
