PAs -Deleting A&E Tasks for Other Users

Modified on Fri, Nov 29 at 1:33 PM

Program Coordinators and Curriculum Coordinators have the option to delete outstanding A&E tasks from their program/course for users.

Deleting Tasks from the A&E Admin Dashboard

This option can be useful if you are trying to delete tasks for a user who was away for a specific time period, or who has transitioned from being a resident to a faculty member and wants their dashboard cleaned up.

  1. Navigate to Admin > Assessment & Evaluation.
  2. You will be on the Assessments tab by default. Move to the Evaluations tab if needed.
  3. You will be on the Outstanding tab by default. Move to another tab if needed.
  4. Use the search options to filter results on this page. Recommended search options are:
    1. User name (this is the person for whom you want to delete tasks),
    2. Delivered After Date or Delivered Before Date (this can be especially useful if a person was not completing tasks for a specific time, e.g., parental leave, and you want to delete them).
  5. Once results are displayed you can either check off individual tasks or click on the trashcan icon in the far right column header to select all tasks that display on the page.

In this example, the search name was Rodriquez Harding, between January 1, 2024 and June 30, 2024.

    6. Click the red Delete Tasks button.

    7. You will be prompted to enter a reason for deleting the tasks and can optionally provide additional notes.

    8. Click Remove Tasks and you should receive a confirmation message.

    9. The A&E admin dashboard will reload and the tasks you deleted should now be under the Deleted Tab.

Deleting Tasks From A Distribution

  1. Navigate to Admin > Assessment & Evaluation.
  2. Click on the Distributions tab.
  3. Find a distribution from which you want to delete tasks.
  4. Click on the title of a distribution to access it.
  5. From the Show Progress screen, click on the Available Assessments card.
  6. You will see a list of all assessors/evaluators with available tasks. Note that if a task (e.g. target name) is blue it is 'live' and has been delivered to the assessor/evaluator. If a task is black is hasn't sent yet (view its delivery date in the next column).
  7. For each task you want to delete, select the checkbox under the trashcan column.
  8. Click the Delete Tasks button on the left (under Available Assessments heading).

In this example, tasks targeting Anderson Rodgers and Eugene Meyer would be deleted.

    9. You will be prompted to enter a reason for deleting the tasks and can optionally provide additional notes.

    10. Click Confirm Deletion and you should receive a confirmation message. Click Close to close the pop up.

    11. These tasks will stay on the Available Assessments tab but will now display as deleted.

You can optionally recover deleted tasks from a distribution by checking off the boxes under the far right column, then clicking Recover Deleted Task(s).

Additional Notes

If you are a PA it is important to note that you can only delete tasks linked to your program. If a faculty member requests help to clean up their dashboard, even if you delete all tasks you can access, they may have pending tasks from another program. If you can get the faculty member to add you as an Admin Assistant, you can act on their behalf to delete this additional tasks.
