Automatic Expiry Dates on Postgrad Tasks using the EPA Workflow

As of December 2024Elentra is set up to automatically apply a task expiry date to assessments using the EPA workflow aninitiated by residents or faculty in the PGME Organization. This isimilar to the expiry dates you can optionally apply to distributions. 

The rationale for this change is to keep users’ A&E task lists more up-to-date without manual intervention (i.e., people having to delete tasks) and that delayed feedback is not especially useful to residents and risks being inaccurate. 

When a resident initiates an assessment task using the EPA workflow, the task has an expiry date 120 days after the date the task is delivered. 

The expiry date will display to an assessor who still needs to complete the task. In the below example, both tasks were initiated by a resident, and the EPA workflow task (D1) shows the expiry date.  

 

 

When a task expires, it disappears from a residents “Tasks Awaiting Assessor” list and also disappears from an assessors task list. Residents, Competence Committee members, Academic AdvisorsPAs and PDs can see a list of expired EPA tasks from the resident’s CBE dashboard Assessments tab, but they can no longer view the task details (e.g., assessment cue, milestone ratings).

 

PAs and PDs can view the details of an expired task by finding in on the A&E dashboard under the Outstanding tab. They can optionally reset the expiry date if desired.

 


There is no mechanism for residents or faculty to request an expiry date be reset in Elentra so if that is a requirement, they must email the PA.
