Import New Curriculum to Elentra

After a program has considered the differences between its old and new curriculum, decided what they are changing, and prepared the required spreadsheets, it is time to import the revised curriculum to Elentra.


A curriculum coordinator or program coordinator (i.e., PA) can do this work.


  1. Navigate to Admin > Manage Programs.
  2. Select the appropriate program and then click on the CBE tab.
  3. Click Configure CBE.
  4. Click Actions and select "Add New Version."
  5. Step 1: Configuration
    1. Indicate which versioning method to use. For existing Royal College Programs, select "Use an existing tree version as a base."
    2. Click "Next Step."
  6. Step 2: Select Course Tree Version
    1. Choose a tree version from the dropdown selector. This will most likely be the program's current curriculum version.
    2. After you make a choice, you'll be presented with a preview of the existing tree.
    3. Click "Next Step."
      1. Note: Each program can only have one version "in progress" at a time. If there is an existing draft version, you can continue editing that new version, or reset the progress.
  7. Step 3: Select Tree Status
    1. Use the "Click here to expand or collapse this branch" button to view the full curriculum tree.
    2. Set the status of curriculum tags as needed. For most Royal College programs, if there are changes to an EPA or milestone, you will mark the entire EPA as retired.
      1. Not Changing
        1. The objective will remain unchanged. This exact version of the objective will be carried forward into the new curriculum version. Note that selecting this option will stop any objectives with the same code from being uploaded.
      2. Changing
        1. Ignore this status.
      3. Retired
        1. The selected objective and its children will be excluded from the new curriculum version. Any status changes for any of this objective's children will be ignored.
      4. Additional Notes
        • Entirely new EPAs will be detected by the uploader without you needing to indicate anything. For example, if you currently have D1, D2, and D3, but will be adding a D4 and D5, the system will detect these in your spreadsheet and add them to the new curriculum.
    3. Click "Next Step."
  8. Step 4: Upload Objectives
    1. Note: You typically do not need to re-upload files for tag sets that aren't changing (e.g., stages, roles, key and enabling competencies).
    2. Upload csv files for any tag sets with retired status or where new tags will be added.
      1. After dragging and dropping a file in place, click "Save and upload tag set name" below the upload space.
    3. If your files are missing information, Elentra will present you with a warning and ask you to re-upload your information.
    4. If your file upload is successful, you will see a preview of your new course tree.
    5. Click "Next Step"
  9. Step 5: Confirmation
    1. You will be presented with a preview of the course tree. We strongly recommend that you review this and compare it to the PDF documents supplied by the Royal College to make sure that all milestones have been appropriately mapped. If items are missing or incorrect, or you notice typos in the content, fix the information in your csvs and re-upload the file.
    2. Once all information is accurate, click "Publish."
