Hiring New Employees - IT Requests

When a unit adds a new employee there are multiple IT-related needs. The below information is provided to help managers or team leads make sure they request what's needed for new team members in a timely fashion. It can take up to two weeks to order new laptops so we request as much advance notice as possible.


For all equipment requests for staff members, if QHS IT has used inventory in stock we can often deploy it at no charge. If new equipment needs to be purchased to fulfil a request, we will bill it back to your department.


Please email qhsit@queensu.ca with the information below to help set new staff up for success.


  • New employee NetID
  • Account information to bill back any expenses
  • Laptop/Desktop - Does the new employee require a computer? 
    • All laptops come pre-installed with: Microsoft Office 365, FortiClient (VPN), Zoom, Antivirus software, Internet browsers (Chrome, Firefox), Adobe Reader (free version)
    • Is any additional software required? (e.g. SPSS, Adobe Pro (paid license), NVivo)
    • Will the user need access to a printer? If yes, which printer(s)?
    • Will the user need access to any Shared drives? If yes, please provide the full folder paths or screenshots. (Note: simply stating "i Drive" is insufficient; the full directory path is required.)
  • Computer Peripherals - What other computer equipment does the person need?
    • Docking station
    • Monitor(s)
    • Keyboard
    • Mouse
    • Headset
    • Web camera (most laptops provided by QHS-IT have a built-in web camera)
  • Door access
    • Will a fob be needed? If yes, which building(s)/door(s) does the person need access to?
  • Elentra account
